A Founder's Guide to Auditing Your Own Lead Process
You don't need a consultant to run a first pass on your own lead process. Most of what needs fixing is visible if you know where to look. This guide is the same checklist we use internally during an initial systems conversation, simplified so a founder or manager can run it in an afternoon.
Start with source visibility. List every channel through which an inquiry can reach your business: advertising forms, website forms, WhatsApp, phone calls, walk-ins, referrals. For each one, ask whether inquiries from that channel land in a single place, or scatter across different inboxes, phones and spreadsheets. Scattering is the single most common root cause of dropped leads.
Next, check response time honestly. Pick ten recent inquiries across different channels and calculate the actual time between arrival and first meaningful response, not the time until someone technically opened the message. If the range varies wildly, from minutes to days, the issue is not effort, it's the absence of a consistent rule.
Then examine ownership. For each of those ten inquiries, ask: was it clear, at the time, exactly who was responsible for responding? Not who happened to respond, but who was supposed to. If the honest answer is often "whoever saw it first", ownership is informal, and informal ownership fails the moment your best person is unavailable.
Look at follow-up persistence. How many times, on average, does your team attempt to reach a lead that doesn't respond immediately? If the number is one, you are likely losing genuinely interested prospects who simply missed a single call or message.
Finally, check outcome visibility. Can you, today, pull a report showing how many of last month's leads became paying customers, and through which channel? If not, every future marketing decision will be made without the one number that matters most.
If this exercise surfaces more questions than answers, that's a useful result. It means the priority isn't a new tool, it's a clearer process, and that's exactly where we'd start the conversation with you.
